EMERGENCY PROTOCOL
Following is an outline of the emergency protocol for the Cranbrook Lax Jam. Please carefully review these procedures. Prior to your participation in the tournament, you will be required to provide a cell phone number where you can be reached at any time during the course of the tournament.
Due to the size of this year’s event it is imperative that the parking plan be distributed to your team and spectators. We will initially park cars on campus and then direct cars to the Merrill Lynch/Dawda Mann lots at the southwest corner of Long Lake Road and Woodward Avenue. There will be shuttle buses running from 6:30 AM – 9:00 PM to and from the lots which can accommodate equipment, coolers, tents, players and spectators.
NO GOLF CARTS, MOBILE HOMES, RV’S OR TRAILERS ARE PERMITTED ON CAMPUS.
GRILLS ARE NOT PERMITTED ON CAMPUS.
DOGS ARE NOT PERMITTED ON BUSES OR CAMPUS (OTHER THAN LEADER DOGS).
IMPORTANT NOTICE
Please note that we are hereby putting all teams and participants on notice that they will be held liable for damage to Cranbrook property that occurs as a result of vandalism caused by any member of that team during the Lax Jam. Vandalism of Cranbrook property may also lead to forfeiture of all remaining games for the responsible player(s)’ team. Please remind your players of the importance of respecting the property of others while at the Lax Jam. We appreciate your cooperation with this important request.
We look forward to another great jamboree and appreciate your cooperation in helping us to create a safe environment and an effective response in the unlikely event of an emergency.
Detection and Notification Equipment
The First Aid tent will be equipped with a NOAA weather radio tuned to local weather channel and will also have a functioning “SkyScan” type lightning detector. The Head Trainer (or qualified designate) will monitor weather conditions for dangerous situations. The First Aid tent will also be equipped with a Motorola Talkabout-type Lax Jam Committee radio with capability for Channel 1 (Trainers) and Channel 3 (Committee). Trainers at each field will be equipped with compatible Motorola type radios. Lax Jam Chairs, Athletic Directors and Cranbrook Security are to be notified at the first indication of a dangerous weather situation. The Lax Jam Headquarters tent (where Lax Jam apparel is sold) and all fields will be supplied with one air-horn and spare air cylinders.
Lightning Strikes / Thunder: Trainer’s Determination of Unsafe Conditions Final
In the event of a detected lightning strike within a range of 3 to 8 miles, the Head Trainer will contact the Lax Jam Chairs, Athletic Directors and Cranbrook Security via Motorola Channel 3. The Lax Jam Chairmen will contact each field (Trainer) in number order to alert them of pending weather concerns. The Chairmen will document the contact on the “Lax Jam Weather Alert / Emergency Actions” Spreadsheet. (Check box for each field to indicate contact has been made).
In the event of a detected lightning strike within a range less than 3 miles, or at the discretion of the Lax Jam Committee in the event of an imminent weather threat, full emergency evacuation of the fields will be required. The Head Trainer will notify the Lax Jam Chairs, Athletic Directors and Cranbrook Security via Motorola Channel 3. At this time, the air-horn at the Lax Jam Headquarters tent (where Lax Jam apparel is sold) will sound to notify teams to immediately take shelter. This signal shall be one continuous blast of the horn of approximately 5 seconds. Concurrent with the horn, Trainers will be contacted via Motorola Channel 3 with instruction to blow air horns at all fields and direct spectators to take shelter. Horn sounding at the fields shall be one continuous of blast of approximately 5 seconds.
Take Shelter Evacuation Plan for All Fields
In the event of a “take shelter” signal, each field has a designated evacuation site. All coaches and players should immediately take shelter at their assigned locations. Due to limited space, parents and spectators should board the nearest bus and return to their cars. Shelter areas for players, coaches, trainers and timers are as follows:
  • Performing Arts Center (“PAC”) lobby for Fields 1, 2 & 3
  • Wallace Ice Arena for Fields 4, 5, 6 & 7
  • Facilities Breakroom for Fields 8 & 9 and Team Tent Village
  • Boys Middle School Lower Level for Fields 10,11 & 12
  • Wenger Gymnasium (Kingswood) for Fields 13 & 14
PLEASE TAKE SPECIAL NOTE: FOR THOSE PERSONS WHO REPORT TO WALLACE ICE ARENA PER THE SHELTER LOCATIONS NOTED ABOVE, DO NOT ENTER THE ICE SURFACE.
Each of these shelter sites can be located on the Lax Jam Map. Spectator shelter under temporary tents is discouraged.
Security will expedite the opening of any locked facilities on this list as soon as the take shelter horns are sounded.
Thunder/Lightning delays will be a minimum of 30 minutes from last occurrence. The Head Trainer shall document the time of last occurrence.
During the shelter period for thunder/lightning, Lax Jam Chairs, Athletic Directors, Cranbrook Security and Head Trainer will meet at the Lax Jam Headquarters tent (where Lax Jam apparel is sold) to develop a game resumption contingency plan.
During the shelter period, coaches should report to the Lax Jam Headquarters tent (as safety permits) or call the Lax Jam Chairs for further direction. Remember that you must provide a cell phone number for one coach per team to the Lax Jam Chairs. It will be the responsibility of the team coaches to contact their teams and provide further instruction for resumption of play.
Weather
CRANBROOK LAX JAM reserves the right to reduce game times and terminate games as necessary due to player safety concerns, adverse weather and/or field conditions. Subsequent game lengths may be shortened to allow the majority of teams to play as many of their scheduled games as possible. Decisions concerning scheduling and weather related matters are to be made by the CRANBROOK LAX JAM Organizing Committee and Cranbrook Campus Security Staff and Administrators and are not subject to review or appeal.
If thunder or lightning (or other adverse weather conditions) is observed at any location play will be suspended immediately and players and fans will be asked to leave the field. Play will be allowed to resume a minimum of 30 minutes after the last sound of thunder or sighting of lightning is observed.
If the CRANBROOK LAX JAM is canceled in whole or in part due to events beyond the control of the Organizing Committee, the CRANBROOK LAX JAM will not be required to make any financial remuneration to participating teams or vendors. To be clear, no refunds will be offered or paid under such circumstances.
